Mileage pooling
If you’re leasing a number of vehicles and continue to receive excess mileage charges, our Mileage pooling service could help. It allows you to use under-mileage vehicles to offset excess mileage. We think it’s a fairer way to handle these costs.
How does Mileage pooling work?
Our first step is to set up a Mileage Pooling Account for you. Then, whenever you return a vehicle, we carry out a straightforward calculation:
- If the vehicle’s actual mileage is more than the mileage set out in the contract, we multiply the difference by the excess mileage charge (also set out in the contract) and debit this amount from the Mileage Pooling Account.
- If the vehicle’s actual mileage is less than the mileage set out in the contract, we multiply the difference by the excess mileage charge (also set out in the contract) and credit this amount to the Mileage Pooling Account.
Your charge is calculated once a year
On 1 January each year we look at the total in the Mileage Pooling Account, with credits offsetting debits. If the net effect is a debit, we issue you an invoice for the net excess mileage charge. This is broken down into:
- Finance – This covers depreciation. If you are VAT registered, you can reclaim 50% of it.
- Services – This covers additional servicing and maintenance costs. If you are VAT registered, you can reclaim 100% of it.
Who can use Mileage pooling?
You can use Mileage pooling if you have at least ten Ayvens vehicles on lease. If your fleet falls below this level, the service is no longer available.
